Job Description

We are looking for an administrative assistant to the Graduate Program Office in the Department of Psychological Sciences. The candidate will assist with the day-to-day activities of the Department's Graduate Programs, including graduate admissions processing, graduate student recordkeeping, and graduate course scheduling. The candidate for this job will begin training in Spring 2025 with the expectation that they will commit to additional hours starting in Fall 2025. Applicants must be available for 1 to 5 hours in Spring 2025 and 10 hours in Fall 2025. In your application, please indicate the hours you would be available to work each day. We prefer applicants who are majoring in Psychology but are open to anyone. Schedule will be set every semester with flexible hours for classes, exams, events, and breaks. 

Spring 2025

Class I Student Administrative Trainee 111, 1-5 hours per week, $16.35/hr

  • Operate a copy machine, printer, fax, scanner, and other office equipment
  • Create, edit, and/or update bulletin board and other correspondence
  • Attend training sessions and staff meetings as needed
  • Follow directions and adhere to guidelines and handbooks
  • Provide information to students, faculty, staff, and the public regarding department services, policies, and procedures
  • Compile and enter data from various sources
  • Assist with graduate course scheduling and reserving classrooms on the Bousfield Room Reservation Scheduler System
  • Update graduate website (Aurora WordPress) with posts, job opportunities, and edits to graduate student profiles
  • Respond to Grad Office email and phone inquiries
  • Maintain confidential student records including scanning paperwork into students’ electronic files and organizing paper files

 

Fall 2025

Class II Student Administrative Assistant 211, 10-12 hours per week, $16.50-$17.70/hr

  • Provide information to students, faculty, staff, and the public regarding department services, policies, and procedures

  • Assist with graduate course scheduling and reserving classrooms on the Bousfield Room Reservation Scheduler System
  • Update graduate website (Aurora WordPress) with posts, job opportunities, and edits to graduate student profiles
  • Respond to Grad Office email and phone inquiries

Job Requirements

Requirements:

  • Experience with MS Word and Excel
  • Customer service and communication skills (verbal and written)
  • Interpersonal and organizational skills. Must have attention to detail to process admission applications and to enter student data correctly into database systems.

Preferred:

·         Experience with Aurora WordPress

·         Experience with other MS Office programs and ability to learn new computer programs and systems   

·         Ability to work school breaks
